Your workflow is on none of these pages
Five industries have a page of their own on this site because that is where we know the workflows and the words. It does not mean we only work there. If your business is on none of those pages, nothing about the approach changes: we look at the routine that repeats most often in your office and rebuild it.
Think of wholesale and retail, freight and logistics, practices and care services, training providers, associations and clubs, agencies, energy and environmental operations. What matters is not the sign above the door, but that the same routine is worked through by hand in your office every week.
Your routine is the template
We reproduce the way you work instead of teaching you the workflow of somebody else's software.
Do the maths first, build second
The free check tells you whether the workflow is worth it before anyone writes a quote.
One workflow first
We start with the one that repeats most often and extend only once it runs.
Built to fit
Built for your case, not off the shelf
We do not sell finished software. Every application you see on these pages was built for one single business, and it would look different at yours, because your workflows, your programs and your responsibilities are different. We build every solution around your use case, and the template for it is your business.
Your workflow sets the shape.
We reproduce the way you already work instead of teaching you the workflow of somebody else's software.
Your words, your forms.
Labels, fields, templates and printouts come from your house. Nobody has to learn what a generic screen is supposed to mean.
What you do not need, we do not build.
No feature set you pay for and nobody opens. The cut comes from your workflow, not from a price list.
Workflows
What we take over
Five patterns that turn up in almost every office, whatever the sign above the door says. Which one comes first for you is decided by the check, not by this list.
The inbox sorts itself before anyone opens it
Every item is read, assigned to the customer, the project or the case, and put in the right list. What those lists are called is up to you: job, matter, building, order, enquiry. Urgent items move to the top, and the sender gets an acknowledgement straight away.
Today
A shared inbox that has to be sorted before anyone can start working.
Afterwards
Sorted lists along your own categories, every item already assigned.
An enquiry becomes a draft
From the enquiry text, comparable past cases and your own prices and templates comes a draft: a quote, an order confirmation or a reply, whichever sits at the end of the line in your business. You check it, change it and approve it.
Today
Two days pass between enquiry and answer, and nobody does anything in them.
Afterwards
The draft is there as soon as the enquiry is. The approval stays with you.
Dates and deadlines no longer hang on one person
Recurring dates, deadlines and follow-ups run as a case with lead time, with one owner and a second person who sees them too. Where the deadline comes from is stated next to it, so it stays traceable.
Today
The overview lives in a spreadsheet and in the head of the colleague who keeps it.
Afterwards
Every date has an entry, a lead time and two people who can see it.
Documentation is written during the work, not after it
Notes, dictation, photos or ticked-off points become the finished document in your own template: minutes, a report, a handover or a record. Whatever is still missing is carried as an open point instead of quietly staying undone.
Today
Documentation is written in the evening, from memory, under time pressure.
Afterwards
The document is ready for review the same day, open points included.
Your programs talk to each other
Your ERP, your specialist application, your filing, the calendar and the accounts all know the same data but never ask one another. We build the connections in between: through the route your programs provide where there is one, and otherwise along the route a member of staff would take. Nothing gets replaced.
Today
The same number is typed in by hand in three places.
Afterwards
Entered once, available everywhere, the same state in every program.
Approvals
What stays with you
The professional judgement, the customer contact and every approval stay with you. We automate the way there and back.
- Nothing leaves the house without your approval, neither a quote nor a letter nor an invoice.
- Every value read out of a document points back to where it was found in the original: checkable rather than asserted.
- Anything that cannot be assigned with confidence lands with a person as an open point, not in the bin.
- Your data stays in your systems; on request the model runs on your own premises.
Your own software
When your own program offers AI
Almost every specialist software now ships AI features with an update. Often that is enough, and then you have saved yourself a purchase. Where the limit runs is set out here so you can judge it without us.
Then it is enough
- The workflow runs entirely inside one program, and its module covers it.
- It is about searching and drafting, and somebody reads the result anyway.
- The routine repeats rarely enough that doing it by hand does not hurt.
- You can work with the fields, templates and labels the program brings with it.
Then it is not
- The workflow crosses several programs, and none of them knows the whole route.
- Your categories, your templates or your review steps cannot be mapped in the standard product.
- Every value has to carry its source, because somebody has to evidence it later.
- The data must not leave the building, but the module only ever computes in somebody else's cloud.
- The module produces text. In your office it would have to become a case with an owner and a date.
If this list leaves you with the module your software already ships, that is a good outcome: you just saved yourself a purchase. The free check answers exactly this question in 45 minutes, before anyone writes a quote.
Objections
What you are asking yourself now
- Our industry is not on your website. Do you even know our business?
- Not on day one, and we do not claim to. What we do know are the workflows underneath: sorting post, answering enquiries, holding deadlines, documenting, connecting programs. Your words, your forms and your rules we learn during the check and while building, not from a template.
- Are we not too small or too specialised for this?
- Specialised is the normal case. We build for a single business rather than for an industry anyway. It does not depend on your size but on whether a routine repeats often enough. That is exactly what we work out with you in the check.
- Do we have to change our software?
- No. We replace nothing. Your programs stay where they are. We build the connection in between.
- Does our data go into a cloud?
- Only if you want it to. Otherwise everything runs on a machine in your office or on your own server.
- And if it does not pay off for us?
- Then we say so in the check, before any quote. That is why the check is free.
Effort & timeline
One workflow, a few weeks
Where we start comes out of the free check: we take the routine that repeats most often in your office and cut it down tightly. The first workflow runs four to six weeks after your go-ahead.
Tell us the routine that comes back every week in your office.
45 minutes, free, by video or at your premises. We record how often the workflow occurs, how many minutes it costs and how much of it is the same every time. With or without working together afterwards.
